Follow the steps below to order a prescription for your patient.
- Login to Rcopia using the following URL: https://rx301.drfirst.com/
- In the top righthand corner of Rcopia, ensure you are working from the correct account.
- Once you have selected/confirmed the account, search for a patient using the Patient Search bar on the main screen. You may type in the patient’s last name, first name, or ID to search for your patient. If you find the patient, select the patient and skip to step 5. If the patient does not exist, click the Add Patient button.
- Enter in all patient demographic information if this is a new patient for which you are ordering medications.
You must enter information in the following required fields:
- First Name
- Last Name
- DOB
- Sex
- Address 1 – Use the Jail/Prison Address for the address
- ZIP Code – Use the Jail/Prison Zip Code
- Home Phone – Use the Jail/Prison phone number
- Pregnant (if applicable)
- Preferred Language
- Ethnicity
- Race
- Responsible Provider
- External ID Name – Type out the following text in this field: Inmate Number
- External ID Value – Type in the patient’s Inmate Number
- Once you have added all of the above information, click the Add Patient button. Rcopia displays the newly created patient chart.
- Scroll down to view the patient’s allergies. If there are no allergies present and you need to add an allergy, click the + symbol or click Mark patient NKDA.
- Next to the Allergies section you can indicate any Diagnoses/Problems for the patient. To add a diagnosis, click the Add Diagnosis button, or you can click NKD if there is no known diagnosis. NOTE: You must enter an ICD-10 diagnosis for ordering controlled substances. When you enter a diagnosis, you must enter the date of onset of the diagnosis.
- You can enter the pharmacy at the top of the patient’s chart by selecting the Magnifying Glass icon or by selecting the red alert banner at the top of the screen.
- The pharmacy search filter allows you to search by pharmacy name or address. Once you select Search, a list of pharmacies matching that filter appears. You can select the pharmacy by double clicking the Pharmacy Name.
- The pharmacy you select will then be set at the top of the patient’s chart. NOTE: Pharmacies in Rcopia/DrFirst are patient specific. You can set a default pharmacy on a patient-by-patient basis. Tcopia/DrFirst does not apply one pharmacy for all patient prescriptions.
- You can add medications by clicking the Add Medication button on the patient chart. This opens a search bar to allow you to search for a medication.
Once you have selected the medication you want to order, enter information in the following fields:
- Provider
- Patient Directions
- Action
- Dose
- Dose Unit
- Route
- Frequency
- Directions to Pharmacist – Example: Inmate Number – 12345678
- Primary Diagnosis
- Once you have added all of the information, click the Add button.
- The medication appears on the patient’s chart.
- To prepare a prescription for sign-off, select the checkbox next to the medication name and then select the RX icon over to the right.
- Once the medication information opens, please review all information to confirm it is accurate. You will also enter your NADEAN (X-Waiver) prior to clicking the Review button.
- This opens the Review Prescription screen, where you will click the Save Pending RX button at the bottom of the screen.
- Once you have saved the pending medication you will see new prescription saved in the Prescription Management section at the bottom of the patient’s chart. NOTE: You can see all patient pending prescriptions under your name by selecting Pharmacy at the top of the screen in Rcopia.
- When you are ready to sign off on a prescription, select the checkbox next to the medication name and enter your Signature Password.
- Next, select the checkbox next to the medication name and enter your Signing Passphrase, Token Device and Token PIN. Once you have entered all of this, click the Sign button.
- Once you have signed, you will receive a message indicating the medication was successfully sent.
